3 Questions Every Executive Pastor Should Ask About Church Financial Health

When a ministry leader asks whether there’s room in the budget for a new initiative, how quickly can you give them an answer?

You might have the information in your accounting software, a spreadsheet, or your latest financial report. But finding the right number (and understanding what it means for the decision) isn’t always straightforward.

As your church grows, the way you manage financial information needs to grow with it. More staff, ministries, and locations can mean more information to track and more decisions to make.

You don’t necessarily need new software or more reports. Sometimes, the most useful place to start is by asking whether your current processes are giving your leadership team what they need.

Here are three questions worth considering.

1. Can you find the information you need when you need it?

Think about the financial questions that come up during a typical week.

  • How much of our ministry’s annual budget has been spent?
  • Are we ahead of or behind our giving projections?
  • What does our current financial position mean for an upcoming expense?

You may already have the answers recorded somewhere. The question is how much work it takes to find them.

If answering a routine question requires exporting reports, checking multiple spreadsheets, or asking someone else to pull the numbers together, that’s worth paying attention to.

Try this: Write down three financial questions your leadership team asks regularly. How many steps does it take to answer each one?

You may discover opportunities to make information easier to access without changing the systems you already use.

2. Do your financial reports help you understand what’s happening?

A financial report can tell you how much money came in and how much went out. But those numbers are most useful when you understand them in context.

For example, a ministry may be under budget halfway through the year. That sounds positive, but it could mean several things.

Perhaps the team has managed its expenses carefully. Or perhaps a significant planned expense hasn’t happened yet.

Both situations produce similar numbers but could lead to very different decisions.

This is why looking at actual spending alongside your budget (and understanding the reasons behind significant differences) is so important.

Try this: Look at your latest financial report. Can you identify the two or three most important changes since the previous reporting period? Can you explain why they happened?

If not, consider what additional context would make the report more useful.

3. Can you use what you know to make decisions about what’s next?

Financial reporting shouldn’t only help you understand what happened last month. It should also help you prepare for what’s coming next.

Imagine your church is considering hiring another staff member, expanding a ministry, or investing in a facility improvement.

Knowing your current bank balance is useful, but it doesn’t tell you everything you need to know.

You’ll also want to consider expected giving, upcoming expenses, existing commitments, and how the decision could affect your budget over the coming months.

This is where financial planning and forecasting become valuable.

You don’t need a complicated forecasting model to begin. Even a simple projection of expected income and expenses can help your team have a more informed conversation.

Try this: Think about one financial decision your church expects to make in the next three months. What information would help your leadership team make that decision confidently? Identify what you already have and what’s missing.

Start with one opportunity to improve

You don’t need to overhaul your church’s financial processes to make progress.

Start by considering these three questions:

  • Can we find the information we need?
  • Can we understand what the numbers are telling us?
  • Can we use that information to make informed decisions?

If one of these areas could use improvement, that’s a useful place to begin.

A clearer report, a more consistent process, or a better way to compare financial information may make a meaningful difference to your team’s day-to-day work.
